Didar Volunteers FAQ

These guidelines are framed to update and contemporise the IV structure in a manner that respects
the Jamat’s legacy, spirit, and tradition of voluntary service, provides
consistency and clarity, and strengthens the operational capacity of the IV
organisation worldwide.

Registration & Eligibility

You can register via the IIUK app or website, clicking on the Volunteer Management System (VMS) link, or by going to
vms.iiuk.org. Login details for the VMS are the same as your login details for IIUK.

If you have already registered on the Volunteer Management System (VMS), you do not need
to register further. Duties will be allocated only to those volunteers who have indicated
their desire to offer khidma through the VMS.

If you are part of a family on IIUK, anyone from the family can register you with your consent through the Volunteer
Management System (VMS).

Yes, International Volunteer
registration is open and will also be managed through the Volunteer Management System (VMS).

Yes, absolutely. When you register on the Volunteer Management System (VMS), simply indicate you are a non-uniformed
volunteer.

Availability & Scheduling

When registering on the Volunteer Management System (VMS), you will be asked for your availability,
including before the Didar, on the day of Didar, during Didar, and post-Didar.

In order to give all volunteers the opportunity to serve during the Visit period, allocation may be restricted to one duty per volunteer. On the day of the Didar, once you have completed your duty, please make your way to the Volunteer Resource Centre (VRC) to check-out of your duty. At this time, if you are
willing to take on additional duties, please indicate this to the team in the VRC and should additional duties be available, they will be allocated accordingly.

You will be able to communicate with the Volunteer Allocation team once you have accepted your allocated duty., Please indicate any changes in your availability to them and they will try to find an alternative duty for you.

Yes. You can log into the Volunteer Management System (VMS) at any point to edit your availability, or indicate that you are not available to serve. As allocation for duties are currently underway, we kindly request that any changes in availability, including withdrawing your offer to serve is made by 12th January 11th at 11:59pm.

Duties & Allocation

In a significant shift from earlier Visits, allocations are now made directly through the Volunteer Management System (VMS). All duties will be centrally allocated by the Volunteer Allocation team, and so, any volunteer who wishes to serve must register through the VMS.

Duties requiring specialised experience and/or certification will be allocated to volunteers holding the necessary credentials. All other duties will be allocated based on the availability you specified when registering on the Volunteer Management System (VMS) (eg. Pre-Didar, during Didar, on Didar day).

At this stage, duties will be assigned such that all volunteers are given equal chances to serve, without preferences. Of course, if a volunteer has specific restrictions with respect to undertaking their allocated duty, they can always inform the allocation team accordingly.

Yes, once all allocations have been made, each volunteer will receive a notification through the Volunteer Management System (VMS) informing them of their allocated duty.

This is in the process of being finalised and will be conveyed to all Volunteers as soon as it has been confirmed.

Duties are unlikely to be allocated on the day, e.g. all duties for the youth Mulaqat have now already been allocated.

Please visit the Volunteer Registration Centre (VRC) so we can review this with you. Any duty assignment will be subject to availability.

Junior Volunteers under the age of 9 must be accompanied by a parent or carer at all times.
Junior Volunteers aged 9 to 13 will be allocated duties as part of a small group, supervised by a Junior Volunteer Team Leader.

Duties are allocated to the Junior Volunteer, not to the parent. Parents are always welcome to serve alongside their child where appropriate.

For Junior Volunteers under the age of 9, a parent or carer must accompany and supervise them at all times.

Junior Volunteers aged 9 to 13 will be allocated duties as part of a small supervised group led by a Junior Volunteer Team Leader.
Duty types and areas are assigned with safety and suitability in mind and, therefore, not all duties are appropriate for Junior Volunteers. Allocations will be made accordingly through the Volunteer Management System (VMS).

Training & Preparation

The majority of training will be completed directly through the Volunteer Management System (VMS), through online training
modules, including three mandatory policies each volunteer must read and accept. There will also be virtual training sessions for specific areas, and for some duties that require specialised training, this will be done face-to-face.

The majority of duties do not require prior training or experience. However, specific duties (e.g. first aid, security, etc), may require
specialised qualifications.

Yes. The process of volunteer registration, duty allocation, and training is unlike any past Visits. Training will be driven by the Volunteer Management System (VMS), and where mandatory training is required, you will see this under the “My Training” section of the VMS, which you will need to complete. There are already some training modules active on the VMS, with more modules being activated in the coming weeks. If you have been allocated duties that require specific training, you will be informed of this training through the VMS or the Team Lead(s) of this training.

All training on the VMS must be completed by the 28th of January, including the 3 Policies: (1) IV Code of Conduct (2) Confidentiality Policy (3) IV Uniform Policy

Yes, duty-specific briefings will be provided by the Team Leads on the day of Didar.

Uniforms & Requirements

Yes, Please refer to the IV Uniform Policy posted on the Volunteer Management System.

Please contact your local IV Director to arrange for the necessary items.

We would like all volunteers to be identifiable at the various events. All volunteers are required to wear the appropriate uniform as per the IV Uniform Policy posted on the Volunteer Management System (VMS).

It is unlikely that spare uniforms or badges will be available on the day of Didar. All volunteers are, therefore, requested to liaise directly with their local IV Director or a member of the IV Executive team to obtain this before your allocated duty.

Family & Special Circumstances

Unfortunately at this stage, there will be no provisions for childcare during the duration of the Visit
period.

Yes. Please add special requirements within your profile within the Volunteer Management System (VMS).

You can indicate any individual needs/constraints on the Volunteer Management System (VMS) under the “Volunteer Additional Details” section. Additionally, there is a section where you can specifically indicate any special support needs. If you have already registered on the VMS, and you need to edit or add these components, simply logon to the VMS, click on “Profile” at the top right hand corner, and then “Edit Profile” in the top right corner. Once you have edited the required details, click on “Submit” to save these details on your profile.

International & Travel

International Volunteer registration will open shortly and will be managed through the Volunteer Management System (VMS).

UK-Jurisdiction volunteers will take precedence for all volunteering opportunities and key events. The eligibility criteria will apply when allocating volunteers to roles within the Didar hall, and so international volunteers will be deployed elsewhere accordingly. Additionally, international volunteers will be required to adhere to the UK IV Uniform Policy posted on the Volunteer Management System (VMS).

No, the arrival time for duties will not differ between UK resident volunteers and International Volunteers.

Experience & Expectations

To come full of energy, with lots of smiles, ready to serve the Jamat with kindness and heart, unconditionally. All volunteers are
expected to wear the correct uniform as per the IV Uniform Policy posted on the Volunteer Management System (VMS).

This will depend on each duty but the average duty length is between 2 to 4 hours.

As each shift is relatively short, no breaks are planned during service. Where bathroom and bio-breaks are required, Volunteers are asked to inform and liaise with their respective Team Leader(s).

Communication & Contact

Duty allocation will be communicated directly through the Volunteer Management System (VMS). Training for all volunteers will be communicated primarily through the VMS, and where needed, directly through the Team Leads of the respective duties.
